Volunteering for Cleantech Open is a very rewarding experience for me. I was recruited to launch the Cleantech Open’s Philadelphia Metro chapter, and in fulfilling this mandate, I’m having a great time learning the industry and the players, including establishing relationships with its key stakeholders. Applicant Recruitment Committee – VOLUNTEERS NEEDED!
- Outbound Events Team (needed for all major metropolitan areas)
- One person takes on the role of outbound events lead – oversees research of event research and helps organize volunteers to attend events
- Identify appropriate conferences, showcases and events for Cleantech Open to attend
- Attend networking events and showcases to represent Cleantech Open and recruit applicants.
- Help organize cleantech open announcements and briefings at local events

- Compose and direct email communications to potential applicants, recruitment partners, and to a broad base of academic, institutional and business organizations from which applicants can be drawn

- Populate and manage spreadsheets of applicant leads and contact information. Look for quality as well as quantity

- Act as the customer service representative to new applicants – reach out when they begin an application and assist them throughout the process

Regional Communications Chair, 2013

The Regional Communications Chair is responsible for overseeing and guiding ongoing regional marketing and PR, helping develop the Cleantech Open brand throughout the region, supporting the major functional committees (e.g. applicant recruitment, mentoring, judging) in external communication activities, and, most of all, managing the Regional Communications Committee to execute all of the above.

Responsibilities
- Organize 1 or 2 roundtables in 2013 for corporate leaders & cleantech leaders. Max attendees 20 people, CTO staff will help coordinate all logistics.
- Develop (with CTO NE Regional Director) target list of regional corporations to engage in 2013
- Serve as point of contact for corporate contacts. Reach out to try to engage them, have initial conversations to gather information about their cleantech interests, gauge potential interest in sponsoring CTO NE or in mentoring / judging. Maintain contact by inviting them to relevant upcoming events (coordinate with metro directors to ensure that we are engaging corporate leaders from across the northeast, not just Boston)
- Where evident, connect corporate contacts with relevant members of the cleantech open community (e.g. alumni companies, sponsors, relevant entrepreneurs, etc.)
- Deliver at least 15 corporate contacts as judges or attendees to the Cleantech Open Northeast Regional Finals / Innovation Expo & Awards events in October
- Check in once monthly with Regional Director

What is a Metro?
A “metro” is a geographic area in our region where we concentrate some of our programming. Each major Metro has its own set of volunteer leaders. Our major Metro areas with full volunteer teams are:

- Upstate New York (Rochester, Syracuse, Albany, Ithaca)
- Philadelphia
- Western, MA
- Rhode Island
- Maine
- Vermont
- New Hampshire

Metro Applicant Recruitment Lead
Metro Mentor Lead
Currently available in Philadelphia, and Maine
Time Commitment: ~4 hrs / wk
- Recruit at least 15 local mentors for each accelerator cycle through networking, outreach to personal network, organizational networks (may need to build partnerships for this) and attendance at relevant events
- Vet local mentors through 30 minute phone calls to ensure that their interests and abilities are aligned with Cleantech open mentor qualifications and code of conduct
- If possible, host one local mentor mixer for companies to meet available local mentors before mentor matching (late May)
- Assist mentor committee with final vetting and mentor matching process (late May – early June)
- Assist with organizing at least 1 or 2 local workshops or business clinics to mentor teams on specific topics (focus on recruiting mentors to work with the teams at the workshops)
- Participate in local Metro team meetings, scheduled and led by Metro Director
- Participate in bi-weekly Regional Mentor Committee phone calls, led by the regional Mentor Chair.
- Where needed, assist Mentor Committee with phone calling to mentors to ensure that they are actively engaging with their teams and enjoying their experience
- Optional: organize local mentor meet-ups for networking.
Metro Judging Lead
Available in Upstate New York, New York City, and Northern New England
Time Commitment: ~2 hrs / wk (busier during Judging in May and October)
- Identify and recruit 10 local judges for each accelerator cycle through networking, outreach to personal network, organizational networks (may need to build partnerships for this) and attendance at relevant events
- Serve as a judge in 1st round judging to select participants in upcoming accelerator program
- Take the lead on organizing one local mock judging event in September, where companies present their 10-minute elevator pitch and receive feedback from local mock judges.
- Recruit local “rock star” judges to participate in Regional Finals judging in October
- If possible, attend final round judging in Boston in October
- Participate in monthly Regional Judging Committee phone calls, led by the regional Judging Chair. (Call frequency will likely increase during peak judging times, May & September)
Can be combined with Mentor Lead role for volunteers looking for a more substantial role.
Metro Communications Lead
Available in Boston, Upstate New York, New York City, and Maine
Time Commitment: ~2 hrs / wk
- Build and maintain localized e-mailing list for the Metro (using Cleantech Open’s communications platform, infusionsoft)
- Support Metro Director in development of local email campaigns for purposes such as event invitations, mentor recruitment, applicant recruitment, customized partner and sponsor communications
- Customize regional communications when needed, and distribute to the metro mailing lists
- Develop local stories for regional and metro mailings, including upcoming events, highlights of local sponsors and alumni
- Share ideas and links for Tweets, Linked-in and Facebook posts, particularly with information specific to the Metro area
- Participate in monthly Regional Communications Committee calls
- Optional: assist Metro Director with speaking engagements and event attendance to locally represent Cleantech Open
Can be combined with Events Lead where volunteer is looking for a bigger role. Combined position is called Events & Outreach Lead.
Metro Events Lead
Available in Boston, Upstate New York, New York City, and Maine
Time Commitment: ~2-4 hrs / wk (more during weeks with events)
- Work with Metro Director and Regional Events Chair and Regional Director to identify core events schedule at the beginning of each accelerator program
- Maintain list of upcoming events (internal and external), coordinate execution on all action items.Attend and manage on-site event logistics at all Metro events – if absolutely unavailable to attend, assign a deputy or work with Metro Director to problem solve
- Ensure that all event logistics are taken care of on-schedule for local events, including:
- securing a venue
- ordering food and drinks (contracting with bartenders where needed)
- inviting and confirming speakers
- creating a sign-up page
- distributing invitations (with Communications Lead) and reminders
- enlisting and managing event volunteers
- Ensure that all event logistics are taken care of on-schedule for local events, including:
- Participate in bi-weekly Regional Events Committee calls. Calls may be weekly during peak event season (July-September)
- At bare minimum, take the lead on planning one local workshop/business clinic and one local networking event in each accelerator season.
- Optional: assist event planning volunteers in planning added events, such as happy hours and mixers, under the Cleantech Open banner.
Can be combined with Communications Lead where volunteer is looking for a bigger role. Combined position is called Events & Outreach Lead.
Metro Fundraising and Partnerships Lead
Available in Upstate New York, New York City
Taking on the role of Metro Communications Lead is a great opportunity for professionals to build and expand their network and become visible among established local cleantech professionals, and to become a recognizable leader in the local cleantech entrepreneurship support community.
- Develop lists of target Metro sponsors with Metro Director and Regional Director
- Reach out to and engage target sponsors / partners by phone and email
- Meet with prospective sponsors to discuss goals for metro region and benefits of a metro or regional sponsorship
- When there is an agreement to sponsor, pass relationship to Regional Director for contracting
- Support MD in managing relationships with sponsors and partners to ensure terms of agreement are met, through check-in calls and emails, special events / invitations to events (work with events lead), highlights in communications (work with communications lead) and engagement as mentors (work with mentor lead) and judges (work with judging lead).
Metro Investor Lead
Available in Upstate New York, New York City, Philadelphia and Maine
- Develop list of local investor contacts
- Reach out to local investor contacts with opportunities and important upcoming event invitations (work with communications and events leads on this)
- Work with Mentor Lead to recruit investor mentors (especially Angels)
- Work with Judging Lead to recruit investor judges (1st round – in order to be a second round judge investors must become investor members)
- Encourage local investors to become investor members with Cleantech Open
- Work with AR lead to engage local investment community in applicant recruitment (reach out on behalf of AR lead to ask for referrals and spreading the word)
- Participate in monthly calls for the Regional Investor Engagement Committee
- Assist in planning Regional Investor Connect event (Investor Engagement Committee will do this with Regional Events Committee)
